In the hopes of helping this along, I was the chief coordinator in Oregon for the West Coast Lotus Meet 3 years ago. It was sponsored by the Golden Gate Lotus club. Kyoshi Hamai was the main contact. He is extremely well organized and has a master spread sheet for such an event. Since he has done this many times the amount of work that we had to do was fairly easy.
